If you cannot participate in the Prospector MTB event entry fee refunds can be requested up until 5pm, 30 November 2024 to receive 50% of their entry fee. All entry fees are non-refundable after 5pm, 30 November 2024 and we cannot refund entry fees after this date. Requests for refunds must be notified to the organiser by emailing info@prospectormtb.co.nz.
It is the sole responsibility to the participant to ensure the Prospector Event organisation has received your communication. If you have not heard from us within 7 days of this request, please call us on 0273058091. Please allow up to 7-14 days for your refund to be processed. Any additional purchases (including but not limited to) processing fees, Merchandise purchase, or any other fees paid at the time of entry are non-refundable at any time.
If you are unable to attend, please ensure you notify us promptly so that we can withdraw you and you do not get entered as a DNS (did not start).
Event Refund Protection
Event participants will be given the option to purchase XCover Refund Protection during their online registration journey. Those that opt for protection will be instantly protected against unforeseen circumstances which include things such as accident, injury, illness, death, weather disruption, and transportation issues. All customer refund requests are managed and handled directly by XCover.
Prior to 30 November 2024 this will top up the remainder of your event fee if you need to withdraw for reasons that are covered by the refund protection policy. After 1 December 2024 there will be no refunds available from Prospector Event Ltd, only those participants who have chosen the Refund Protection will be entitled to any refund on entry fees (subject to meeting XCover payout requirements).
Transfers
Participants may request to transfer their entry to someone else up until 5pm, Friday 31 January 2025. The Participant wishing to transfer must notify the event organisation via info@prospectormtb.co.nz , pay a $50 transfer fee and provide the name and contact details of the replacement rider. We will then make contact with the replacement rider in order to officiate the transfer.
No transfers can be made after 5pm, Friday 31 January 2025.
Deferrals
Deferrals are offered solely at the event organisers discretion. In the instance that a deferral is offered by the organisation to a participant to hold an entry to the following year the following conditions apply - an admin fee of $50 per rider is charged at the time of the following years entry; the deferral is non-transferable to any other rider; the deferral can only be made once; no refunds will be made available.
Category Changes
If you are wishing to change your category from an individual to a team entry, or a team entry to individual entries, participants must contact info@prospectormtb.co.nz to make these arrangements and pay a $50 transfer fee. We will then make the necessary adjustments.
If you wish to change from the 3 day Prospector Race to the 3 day Relay option prior to 30th November you can get 50% refund on the difference of the cost of the main race entry and the relay entry. After 30th November – no refund avialable. If you want to do this, email info@prospectormtb.co.nz with your details and we will make the change for you.
If you wish to change from the 3 day Prospector Race to the 1 day Matangi Claim Adventure Ride prior to 30th November you can get 50% refund on main race entry with no charge for Claim. After 30th November – no refund on main race with no charge for Claim. If you want to do this, email info@prospectormtb.co.nz with your details and we will make the change for you.
To change up a category (ie. to go from Claim to Relay or Main Race) you will need to pay the cost difference in the category price at the time you are making the change. If you want to do this, email info@prospectormtb.co.nz with your details and we will make the change for you.
